EWTG Conference Event Policies

Cancellations

A full refund will be given for written requests received on or before November 17, 2024. No refunds will be granted after this date. Cancellations must be received in writing from the original registrant at ewtg@ewtg.org. No cancellations will be taken by phone. Registrants who do not attend the event and/or do not contact EWTG via written correspondence during the set window as directed above will be responsible for the full attendee registration fee.

Attendee Substitutions

Substitute attendees may be named prior to December 12, 2024, or during onsite registration. Notification of substitution must be submitted in writing from the original registrant to ewtg@ewtg.org. No substitutions will be taken by phone.

Conference Code of Conduct

All attendees, speakers, sponsors, and volunteers at our conference are required to agree with the following code of conduct. Organizers will enforce this code throughout the event. We expect cooperation from all participants to help ensure a safe environment for everybody. Our conference provides a harassment-free conference experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disability, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We do not tolerate harassment of conference participants or venue staff in any form. Sexual language and imagery are not appropriate for any conference venue, including talks, workshops, parties, and social or digital media. Conference participants violating these rules may be sanctioned or expelled from the conference without a refund at the discretion of the conference organizers and EWTG Board of Directors.

Solicitation Policy

Solicitation at the Conference by non-exhibitors is prohibited. Any attendee who is not an exhibitor and is observed to be soliciting business deemed inappropriate may be asked to leave the event without refund at the discretion of the EWTG Board of Directors and may jeopardize their ability to attend future events. Additional examples of prohibited solicitation activity include unauthorized events, including offsite functions, that conflict with scheduled conference activities, and unauthorized distribution of marketing materials or product samples. Please note that this does not include the exchange of business cards and/or contact information through the course of normal networking.

Liability Waiver

Attendee assumes all risks and accepts sole responsibility for any injury (including, but not limited to, personal injury, disability, and death), illness, damage, loss, claim, liability, or expense, of any kind, that attendee may experience or incur in connection with attending the EWTG Conference, including social activities. Attendee hereby releases, covenants not to sue, discharges, and holds harmless The Executive Women in Texas Government Association (EWTG), its employees, agents, and representatives, of and from any such claims, including all liabilities, claims, actions, damages, costs, or expenses of any kind arising out of or relating thereto. Attendee refers to conference attendees and any guests of a conference attendee who attends any conference function or activity related.

Photo/Video Release

EWTG retains the right and permission to publish, without further charge, photographs and videos taken during this event. These photographs and videos may be used in publications, including electronic publications, or in audio-visual presentations, promotional literature, advertising, or similar ways. By registering and participating in this event, I voluntarily consent to be recorded and/or photographed by EWTG.
