Position Opening
Executive Women in Texas Government is seeking an Executive Director. Job is expected
to begin in March or April 2008. Executive Women in Texas Government (EWTG) is a
non-profit organization of dedicated individuals devoted to developing and encouraging women in Texas
government and higher education by offering educational and professional
development activities and
opportunities.
Detailed Description of Position:
EWTG Executive Director: The Executive Director serves as the only-paid officer
for EWTG. In conjunction with the Board of Directors, the Executive Director plans, organizes and implements member services, special projects and administrative duties,
including supporting the members of EWTG who volunteer in the various activities
of the organization, coordinating the activities, performing the day-to-day
administrative responsibilities, and maintaining the integrity and good will of the organization.
The Executive Director is responsible to the Board,
working independently under
general supervision. The Executive Director is expected to use initiative and independent judgment in performing the duties for the benefit
of the organization.
General Duties:
- Collaborates with Board, committees and EWTG members on activities and assignments
- Provides guidance and mentoring to EWTG members (volunteers) as they develop their
expertise in carrying out the organizations activities
- Meets scheduling requirements for meetings and activities
- Completes all work assignments thoroughly, accurately and professionally
- Maintains credibility and integrity of organization
- Assists
the Board in the development of sound organizational policies
- Exercises high-quality of written and verbal communications
- Develops new project initiatives
- Develops processes and methods to improve organization and operational effectiveness
- Provides solutions to crisis situations
Specific Duties:
Member Services
- Maintain membership
data base accurately and timely for membership of approximately
500 individuals
- Distribute membership renewal notices on a timely basis
- Provide information to potential members,
send acknowledgements to new and renewing members
- Provide membership director with information
regarding new and non-renewing members
- Assist with membership recruitment and
retention efforts, prepare copy for annual directory and oversee printing and distribution
Communications
- Compose and distribute broadcast email communications to membership including monthly
newsletter, monthly event notices, job postings, member surveys and others as needed
- Assist as necessary with timely posting of newsletter and other content on EWTG
website
- Write newsletter articles/notices
as needed
- Order letterhead and other organization printed materials including membership forms, directories, note cards
- Represent the organization in a professional manner within the community
Educational Activities
- Document reservations
for monthly luncheon and mini-course meetings
- Serve as contact to Austin Woman’s Club, provide
name tags and reservation list
- Collect, balance and deposit receipts from event revenue
- Attend mini-courses and prepare facility for presentation including set-up, tear-down,
cleaning, audio visual, food order and service and attendee registration Approved

- Assist with development and implementation of special event(s) to include providing
committee chairs with schedule, serving as contact for attendees, providing name
tags and items for special guests, attending event
- Assist with mentorship program as it relates to kick-off and orientation meetings
Annual Conference Activities
- Attend conference committee meetings, as needed
- Serve as conference contact
- Assist in scheduling keynote speakers
- Assist with review and editing of registration and conference brochures
- Assist with distribution of registration brochures
- Solicit sponsorships for the Annual Conference
- Provide supplies to committee chairs
- Process registrations and document payments for approximately 750 conference attendees,
50 speakers, 50 exhibitors and specials guests and dignitaries
- Serve as phone and email contact for attendees, state agencies and invited guests
- Utilize web-based database to generate name tags and attendee lists and provide
to registration committee
- Provide workshop session tallies and meal counts to program and facilities committees
- Collect, balance and deposit conference revenue and payments
- Advise conference committees about tasks and project plans
- Transport conference materials to/from event
- Coordinate EWTG table at conference
- Serve as consultant to Registration Committee about registration and problems
on day-of conference
- Track and collect outstanding payments
Affiliate Support
- Assist with communication
with Affiliate officers and potential
affiliate organizers
- Provide quarterly
membership updates to Affiliates
- Furnish
supplies and mailing labels as requested to Affiliates
- Visit each established or prospective Affiliate at least once/year, determine that Affiliate reporting requirements are
met, and provide support for activities as requested
Adminstrative Duties
- Prepare remittances
for Treasurer and make deposits
- Assist with outside review
of financial books
- Process and distribute mail, which includes retrieving mail from EWTG Post Office
Box on a regular schedule
- Prepare materials for and minutes of Board of Directors' meetings
- Maintain email account by answering or forwarding all incoming messages
- Return telephone calls from members, public and Board promptly
- Provide member and organization information as requested by Board members and committee
chairs
- Prepare scholarship application
forms for review by Scholarship Committee
- Provide forms as requested to members
- Assist in preparation of annual budget
Minimum Qualifications:
- A bachelor’s degree from a four-year college or university
- Three years of experience in a leadership role within an organization or in a managerial
capacity
- Advanced
communication and interpersonal skills
- Proficient use of a personal computer including preparation and use of software
for word processing, spreadsheets, databases, and website updates
- Ability to work independently
Preferred Qualifications:
- Two years of experience in a leadership role for a public or nonprofit entity
- Five years of experience in an organization comprised of many volunteers
- Event planning experience
- Experience in sponsorship development/fundraising/grant writing
- Knowledge of Texas state government operations
Compensation: This position is paid at an hourly rate with a total
annual compensation of approximately $27,000, commensurate with experience and qualifications.
Time sheets must be approved by Board President prior to submission to payroll.
Mileage reimbursement at the IRS rate (in 2008) of 50.5 cents per mile is provided
for limited in-state travel. There are no regular benefits
for this position; however,
requests for payment of job-related professional dues and professional development
expenses may be approved by the Board on an individual basis.
Work Hours: This is a
part-time position - .675 FTE or 1,350 hours per year, which are variable monthly based on the needs of the organization. Work
hours are varied, including early evening, occasional weekends, and heavy hours
during certain periods based on organizational activities.
Job Location: This position
is located in Austin, Texas. There
is limited in-state travel. Applicant may be required to provide office space (i.e.,
telecommuting) with
sufficient work and storage space for the needs of the position.
